Summary

The Administrative Professional role is primarily responsible for supporting the administrative functions within an AFRL Directorate or Division as part of a project team. The role requires previous government work experience, extensive knowledge of the Defense Travel System (DTS), workflow management.

Responsibilities

• Supports management operations by tracking Integrated Product Team (IPT) manning, preparing organizational charts, and performing data entry into systems like the Automated Time Attendance and Production System (ATAAPS). • Manages and processes both classified and unclassified mail, prepares government correspondence, and operates office equipment. • Assists with the use of United States Air Force standard desktop-based systems to produce various reports and documents, facilitating the use of automated forms, and supporting the creation and publication of program documentation and presentations. • Performs the duties of Record Custodian (RC), which includes maintaining master files and file plans, and assisting in the establishment and maintenance of Operating Instructions (OIs). • Orders office supplies, supports Video Teleconferencing (VTC) operations, and handles tasker workflows within the customer Directorate or Division, ensuring timely completion and proper archiving of documentation. • Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls. • Exercises considerable judgement and discretion in handling requests for appointments and telephone calls. • Composes, types, formats, and distributes professional correspondence and memoranda, E-mails and faxes, and project reports and documents using individual initiative and as assigned. • Tracks the receipt and processing of project data; reviews key data after receipt for completeness and consistency; enters data into information management or data collection system; ensures accuracy of all data entered. • Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness. • Coordinates travel arrangements; completes expense reports and processes travel documents; ensures that correct account codes are used and required signatures obtained. • Coordinates appropriate financial management and invoicing for projects. • Coordinates internal and external project meetings, including but not limited to preparing and distributing agendas and other meeting materials, preparing slides and/or transparencies for meeting presentations, reserving and preparing facilities, and recording and transcribing meeting minutes. • Performs general clerical duties, including but not limited to filing, photocopying, faxing, and mailing. • Complies with established security regulations and is capable of assisting in the creation and maintenance of self-inspection checklists, tracking deficiencies, and supporting the overall administrative functions necessary for the effective operation of the Directorate or Division. • Performs other related duties as assigned by management.

Qualifications

Education

• Associate's degree (A.A.) or equivalent, three to five years related experience, or equivalent combination of education and experience.

Clearance

A minimum Secret clearance. May require a Top Secret – SCI clearance
